As we approach the final months 2019, we face a calendar chock full of events, holiday activities, and the annual requirement of year-end processing for financial and HCM departments. The year-end requirements placed on ERP systems – and the support delivered for those systems – can be challenging, confusing, and cumbersome.

Many of these updates come just a few months before the deadlines imposed by those same governing authorities. Even worse, Oracle often publishes their update late in the year, providing only a one-size-fits-all software update to those on Premier or Extended support. Our Global Tax and Regulatory team of experts personalizes the year-end tax process for each client to deliver precise updates before they need them, regardless of product version. Our JD Edwards support team has the most combined experience in the industry.

Each year, we work individually with our customers to determine their US year-end requirements and provide any updates on the Global tax requirement landscape based on the states and countries where they actively conduct business. All deployment and testing requirements are completed well in advance of government deadlines.

We apply all the required updates directly in the customer’s development environment for them and run extensive QA testing on any program changes. This alleviates any requirement to have in-house deployment or programming skills and eliminates all the hours associated with the testing of the year-end updates.

Time and Cost Savings with BI Publisher Year-End Templates

For JD Edwards customers on EnterpriseOne 9.1 and higher or JD Edwards World A9.3.1 and higher, Spinnaker Support offers BI Publisher template design updates as part of standard support.

Customers will no longer need the added expense of purchasing pre-printed year-end forms or relying on third-party forms packages. Updates required to reflect IRS changes are simply done in the BI Publisher template instead of altering actual JD Edwards code. Additionally, any space adjustments are also done in the template saving hours of time coding and deploying required modifications.

2019 Year-End Legislative Changes

Each year, we send custom alerts to our customers covering any legislative changes that may impact their year-end processing. In 2018, we notified our customers of quite a few changes through email and a summary blog post.

The list below contains our summary of the overall changes that customers will need to be aware of.

1099 2019 Legislative Changes as of September 24, 2019

For customers that use BI Publisher to produce their 1099 Forms, the year may need to be changed from 2018 to 2019.

W-2 2019 Legislative Changes as of September 24, 2019

Oregon Transit Tax – Updated Oregon Department of Revenue regulations require employers to report the statewide transit tax in Box 14 of Form W-2. This change is effective for the calendar year 2019 Forms W-2, due to employees and the Department by January 31, 2020.

Massachusetts Paid Family Leave – Massachusetts is to have employers include paid family leave contributions amounts on Forms W-2. Paid-leave contributions are to be reported in box 14 of Form W-2 using the code “MA PFML”

For customers that use BI Publisher to produce their W-2 Forms, the year may need to be changed from 2018 to 2019 and Box 9 has been greyed out.

W-2C 2018 Legislative Changes as of September 24, 2019

There are no W-2C programming changes required for 2019.  Spinnaker Support will continue to monitor for any changes.  We will notify our customers if/when changes become available.

State W-2 Legislative Changes as of September 24, 2019

There are no State W-2/EFW-2 programming changes required for 2019. Spinnaker Support will continue to monitor for any changes.  We will notify our customers if/when changes become available.
